Who we are and what this policy covers
Bentley & Green Health AI, LLC (“Bentley & Green,” “we,” “us”) is an employee benefits advisory firm based in Del Mar, California. This policy explains how we handle personal information collected through bghealthai.com (the “site”) and through the emails and calls that follow from it.
This policy doesn’t cover:
- The Health AI app. The app is provided by Smart Vision Health and is governed by its own terms and privacy policy.
- Spousal HRA plan records. Information about plan participants is handled by the plan’s third-party administrator under the plan’s documents and applicable law, including HIPAA.
- Other websites we link to, which have their own policies.
Information we collect
Information you give us
- Client contact form: name, email, phone, company name, title, total employees, city, state, your top healthcare issues, whether your company offers a Spousal Incentive HRA or a health AI app, the best time to reach you, and whether you’d like email updates.
- Partner contact form: name, email, phone, title, company name, and how you’d like to partner.
- Census upload: your name, organization, work email, optional notes, and the census file you send. The file should contain only headcount, coverage tiers, and plan cost; you confirm it has no names, Social Security numbers, or health information before it uploads. It’s delivered to our team by email.
- Emails and calls: whatever you choose to share with us.
Information collected automatically
When you visit the site, our hosting provider’s servers record standard technical information: your IP address, browser and device type, the pages you request, the referring page, and the date and time. We use it to run and secure the site, including protecting our forms from spam and abuse. See cookies and similar technologies for what’s stored in your browser.
What we don’t collect
We don’t ask for, and please don’t send, protected health information, Social Security numbers, or information about individual employees through the site. Estimated savings proposals are built from a non-identifiable census: headcount on the plan, coverage tier, and plan cost.
How we use information
- To respond to your inquiry and schedule a consultation.
- To prepare an estimated savings proposal and the services you ask for.
- To communicate with you about our services.
- To send email updates, only if you opt in.
- To operate, maintain, and secure the site, and to prevent spam, fraud, and abuse.
- To understand how the site is used in aggregate, only if you accept non-essential cookies.
- To comply with law and to protect our rights and the rights of others.
Email communications
The email list is opt-in, and the box is unchecked by default. You can unsubscribe at any time with the link in any marketing email, or by contacting us. We’ll still reply to messages you send us.
How long we keep information
We keep personal information for as long as reasonably necessary for the purposes in this policy, including to serve you, maintain business records, and meet legal obligations. Then we delete it or de-identify it.
How we protect information
We use reasonable administrative, technical, and physical safeguards, and the site is served over an encrypted connection (HTTPS). No method of transmission or storage is completely secure, so please don’t send sensitive information through the site or by email.
